Email and messaging integration patterns

Connect the conversation to the work it represents. Email and messaging integrations need a clear distinction between a received message, a prepared draft and a communication actually accepted for delivery.

How should the data flow?

  1. 01

Receive a channel event and preserve the conversation and message identifiers.

  2. 02

Normalize the message while retaining attachment references and source context.

  3. 03

Resolve the eligible customer record and route the task or draft to the responsible team.

  4. 04

Send an approved response and track acceptance, failure or unresolved delivery.

What business handoff does this integration support?

A support request arrives in a shared channel, is linked to an eligible account and receives a suggested category or draft. A person can review the context before any sensitive communication leaves the system.

How do authentication and permissions work?

Scope channel credentials to the required inboxes or workspaces and keep them in a server-side credential store. Verify signatures or authenticated delivery according to the selected provider’s contract.

How are changes detected?

Validate event type and sender context before processing. An acknowledgement means the event reached this boundary, not that a customer received the final response.

What are the implementation options?

  • A read-only triage adapter that prepares review tasks inside an existing support workflow.
  • An approved-send adapter with explicit templates, recipient checks and operator-visible delivery state.

Systems involved

  • An email inbox or messaging channel that receives customer or operational conversations.
  • A support workspace, CRM or workflow application managing the response and next action.

Sync direction

Inbound events may create tasks; outbound messages should require an explicit approved action. Define loop prevention so automated messages do not trigger endless replies.

Error handling and reconciliation

Deduplicate message events, preserve threading identifiers and classify attachment failures separately from text handling. Never assume that resending after a timeout is harmless.

Limitations to verify

Channel policies, message templates, attachment limits and delivery reporting vary. Confirm current provider capabilities before committing to a particular conversation experience.
