Automate document processing
Move documents into a controlled processing flow. The goal is an accepted business record, with a traceable relationship to the source and a review path for uncertain fields.
A practical path forward
- 01
Catalogue document types, field definitions and representative variations.
- 02
Extract candidate values and preserve their source locations.
- 03
Apply deterministic checks and route ambiguous fields to a reviewer.
- 04
Post approved records and reconcile them against source documents.
The current situation
Where the friction lives.
People read attachments, copy values into spreadsheets and chase missing information. Variations in layout or terminology make simple extraction rules fragile.
The intended change
A clearer operating state.
A document is identified, parsed and checked against business rules. Reviewers see uncertain fields in context, and accepted records enter the destination system with source references.
A useful first release
Support one document family with a bounded field set and a review interface. Do not promise reliable processing of arbitrary attachments based on a few favorable samples.
How to judge the result
Include poor scans, missing pages, duplicate documents and contradictory values. Measure whether a reviewer can verify the accepted record from the preserved evidence.
Decisions to make early
- Which fields require exact matching and which allow interpretation?
- Who resolves conflicting values across attachments?
- What document retention and deletion rules apply to intermediate artifacts?
A common failure mode
A plausible extracted number can pass format validation while referring to the wrong line item. Business checks and source context must supplement parsing.
