AI Inbox Architecture: Components, Data Flow and Guardrails

The components, records and trust boundaries behind ai inbox. Use this proposed design to examine ownership and failure behavior before a build.

Proposed AI Inbox workflow

Proposed workflow. Exceptions require operator review.

  1. 01

Capture message and thread references without duplicating the entire mailbox.

  2. 02

Identify language, request category and permitted attachment types.

  3. 03

Retrieve approved account context and source material.

  4. 04

Prepare a draft with traceable facts and unresolved questions.

  5. 05

Obtain approval, send through the authorised channel and log the outcome.

System context and data ownership

Store message ID, thread ID, extraction version and approval state separately. The mailbox remains the source of the original message; the CRM owns the account record. Attachment text is untrusted input. A retrieval layer limits the knowledge available to the draft, while sending credentials remain outside the model execution boundary.

Trust and execution boundaries

External events enter through an authenticated adapter and validation layer. Business state is persisted before a consequential action is attempted. Model output is a proposal that must satisfy the application contract; it is never an authorization token. The action adapter checks permissions and policy again before writing to an external system.

Storage, receipts and external dependencies

For AI Inbox, the completion boundary is defined by the final workflow step: Obtain approval, send through the authorised channel and log the outcome.

Retain the source reference, transformation version, approved decision and destination receipt under an agreed retention policy. Keep secrets in the server environment. Document provider dependencies and verify their current API behavior against actual access during discovery. Avoid copying unrestricted source payloads into logs or model prompts.

Failure detection and scaling constraints

Show provenance for quoted facts and compare account references before approval. Sample approved drafts for unsupported claims, not just language quality.

Size concurrency around downstream acceptance and rate limits observed for the real account. Backpressure must preserve pending work and expose its age. Increasing workers cannot repair ambiguous delivery or an undefined source of truth. Keep queue health, business completion and operator review as separate signals.

Examine the system behind the proposal

The linked project pattern is a demonstration architecture. It explains constraints, data flow and validation without claiming a named client, deployment or measured result. A project proposal must verify the actual systems and acceptance criteria before adopting the pattern.

A practical buyer question

Which data boundaries matter for AI Inbox?

Store message ID, thread ID, extraction version and approval state separately. The mailbox remains the source of the original message; the CRM owns the account record. Attachment text is untrusted input. A retrieval layer limits the knowledge available to the draft, while sending credentials remain outside the model execution boundary.

Start with one real workflow
