Measure the operational cost before choosing technology

Map which system owns each field and when it is allowed to change. Count corrections, unmatched records and delayed decisions. Inventory API access before promising a real-time sync: historical data, permissions and destination write behavior may constrain the design more than the transport itself.

Find the missing contract

Follow a single item through the current process. At each handoff, write down who owns it, which input is required, how completion is confirmed and what happens when the next system cannot accept it. Missing ownership or conflicting data definitions often need a process decision before any automation can help.

What should remain with people?

Use a maintained connector when its object model and failure handling match the workflow. Build custom adapters for missing fields, explicit conflict policy or recoverable operations that a connector cannot expose.

Keep unusual judgments and commitments under explicit human control. Use software to validate known fields, move approved records and expose unresolved work. Do not ask a model to invent missing facts or turn an uncertain match into an irreversible action.
