Where the work gets stuck
A shared spreadsheet has become an application without a reliable permission model. People overwrite status, copy formulas and ask colleagues which row is current. Buying another broad SaaS product may add another workaround if the actual approval and exception rules remain undocumented.
Measure the operational cost before choosing technology
Observe one operator completing a task and one supervisor correcting it. Record handoffs, data errors and the cost of unclear state. Identify which spreadsheet features are useful and should survive. An internal application should reduce friction for operators rather than reproduce every historical column as a mandatory field.
Find the missing contract
Follow a single item through the current process. At each handoff, write down who owns it, which input is required, how completion is confirmed and what happens when the next system cannot accept it. Missing ownership or conflicting data definitions often need a process decision before any automation can help.
What should remain with people?
Configure an existing tool when its permission and state model fits. Build a focused internal application when workarounds or integration gaps make the current process difficult to control.
Keep unusual judgments and commitments under explicit human control. Use software to validate known fields, move approved records and expose unresolved work. Do not ask a model to invent missing facts or turn an uncertain match into an irreversible action.
Bring one difficult example
Describe the operator task, spreadsheet structure, roles, approval states, exceptional cases, integrations and the record that proves work is complete.

The linked project pattern is a demonstration architecture. It explains constraints, data flow and validation without claiming a named client, deployment or measured result. A project proposal must verify the actual systems and acceptance criteria before adopting the pattern.

Where should the investigation of operational workflows that do not fit off-the-shelf saas start?
Describe the operator task, spreadsheet structure, roles, approval states, exceptional cases, integrations and the record that proves work is complete.
Start with one real workflow
Describe the result, current process and the exception that is hardest to handle. We review the scope before proposing a build. Your enquiry goes through a secure server-side form, and nothing you enter in a worksheet is sent automatically.
